Alumni at the University of Gothenburg

Join the Alumni Network.

You can log in with your Facebook account or enter your email address. A verification link will then be sent to your email address, which will take you to the registration form. Check your spam folder if you do not receive the link.

You can fill in your contact details and career information. You can also choose what information you would like to receive from us and how you would like to contribute.

Please note that your email address is particularly important as communication takes place digitally.

Finally, you must confirm that you agree to the processing of your personal data in accordance with the General Data Protection Regulation (GDPR).

To Processing personal data in the Alumni System.

You do not need any login details. In the alumni system you always start by entering your email address and receive a verification link each time, or you can log in with your Facebook account.

We receive information about your education and postal address from the University of Gothenburg's study documentation system Ladok. The postal address information comes from the Swedish Tax Agency's Address Register Navet.

Alumni are former students of a university. The word "alumni" is the masculine plural form of "alumnus", meaning "pupil" or "nurseling", from the Latin "alere", which means "nourish", "nurse" or "foster". The feminine forms are the singular "alumna" and the plural "alumnae". In English "alumni" tends to be used as a generic term incorporating the masculine and the feminine.

You are considered an alum of the University of Gothenburg when you have completed your studies. This applies whether you have taken a short course or completed a degree at undergraduate, postgraduate or doctoral level.

If you want to change any of your information, log in with your Facebook account or enter your email address in the "Enter email address" field at alumn.gu.se. You will receive a verification link by email.

Click on the verification link to change your email address, profession, workplace, subscriptions, commitments and more.

You do not need a username or password to access the Alumni System. You always start by entering your current email address in the field on the site above and receive a new verification link by email.

You can contact your faculty or department to find out about networking opportunities and events for alumni from your field of study.

If you do not have a Swedish personal identity number or have forgotten the last four digits, you can sign up using your date of birth in the following format: YYYYMMDD.

An administrator will then look up your details in Ladok and contact you if further information is needed to verify your identity securely.

As a public authority, the University of Gothenburg is subject to the Principle of Public Access to information. This means that the data in the alumni system is not protected by secrecy.

If you do have protected personal data, you already know that you should be careful about disclosing information about yourself.

If you still want to sign up to receive for example newsletters and invitations from us, please contact the Alumni Office so that we can mark your home address as protected and make any other necessary notations. This also applies if you received protected personal data after registering in the Alumni System.

Alumni cannot see each other's information in the Alumni System. Only alumni administrators at the University of Gothenburg have access to the system.

Processing personal data for the University of Gothenburg.

Why do we process your personal data?

The Alumni Network is for former students (alumni) at the University of Gothenburg. The aim is to create and strengthen the relationship with the alumni, for a mutual exchange between current students and the university's education and research.

We process your personal data in order to maintain and develop contact with you as an alum and to communicate with you through relevant mailings and invitations.

When you register for the Alumni Network, you have the opportunity to consent to us processing your personal data. Consent is the legal basis for the processing. You can withdraw your consent at any time by emailing alumn@gu.se telling you want to leave the alumni network.

We process your personal data in accordance with the EU Data Protection Regulation – GDPR, The General Data Protection Regulation.

What personal data do we process?

When you register for the Alumni Network, you get to enter your name, social security number and email address. You need to submit these tasks to join the Alumni Network.

When you register, we also get contact information and information about your education from our study documentation system, Ladok. The contact information in Ladok is from the address register Navet at the Swedish Tax Agency. We also process information about the contacts we have had with you.

In addition to the above, you can voluntarily specify certain information about your profession and workplace, and tick what you are interested in receiving from the University of Gothenburg and in what way you want to engage.

We use the information about your previous education and the information on profession and workplace, so that you will receive mailings and invitations that are relevant to you.

Who is processing your personal data?

The University of Gothenburg is responsible for the personal data processing of your personal data in the alumni network. Your personal data is available to the employees at the University of Gothenburg who work with the alumni activities.

Your personal data is processed for the University's account by Mira Network AB, to provide IT services that make it possible for the University to maintain relationship with the alumni. The services are licensed and developed by Mira Network AB and administered by the University of Gothenburg.

The university is a state authority, which means that in some cases we may be required to disclose information from the alumni system on request according to the principle of public access to official documents.

The personal data is saved in the alumni system until further notice or as long as you want to be part of the alumni network.

Additional processing for statistical purposes

We also process the personal data in the alumni network in order to make statistical summaries at the aggregate level. This processing is done with a statistical purpose that is consistent with the original purpose, as shown above.

The personal data in the statistical compilations will be anonymized so that they can no longer be attributed to a specific person without additional information being used. Whenever possible, the data will be unidentified so that it no longer enables the identification of a specific person.

Access to information and other rights

You have the right at any time take part of the information that is registered about you and to get it out in a format that can be transferred to another system.

If you find that some of the personal data we process about you is incorrect, you can contact us to get the personal information corrected. You can also change and add information about yourself by logging into your alumni profile.

You can contact us at any time and request that we delete the personal information that we process about you. You also have the right to request that we limit the processing and a right to object.

Complaints to the Swedish Data Protection Authority (DPA)

If you believe that the University processes your personal data in violation of the EU General Data Protection Regulation (GDPR), you have the right to file a complaint with the Swedish Authority for Privacy Protection (DPA).

If you no longer want to be part of the Alumni Network, email your name and date of birth (YYYYMMDD) to alumn@gu.se. We will then remove you from the Alumni System.
